Meetups & groups
How to share meetup details safely with a group
For trips or events you want the whole group to know the spot, time, landmark and a just-in-case contact. Posting in a group chat buries it in the log; put it on one page and share the URL, and anyone can open it instantly. Add a passphrase to keep it from outsiders, and it auto-deletes when the plan is over, leaving no personal data behind.
Create this page →What to put on the page
- The exact meeting spot (down to the landmark / exit) and a map link
- The time, and a rule for late arrivals
- The rough plan for the day and what to bring
- An emergency contact (one representative) if you get separated
- A backup plan for rain or delays
Where to post the QR
- Paste the URL into the group's chat (a URL is easier than a QR here)
- Print a QR if you make a paper itinerary
- The organiser shows it on their phone on the day
When to create it
Build it 1–3 days ahead and share it so everyone is on the same page. Last-minute changes (a moved meeting spot) can be edited via the Edit link, so it's fine to create and share before everything is final.
Recommended expiry 3 days (or 24 hours for a day trip)
Keeping personal data off the page
- Don't post everyone's names and phone numbers — one representative for emergencies
- Avoid home addresses or info that identifies children or companions
- Always use "link + passphrase" so a forwarded URL can't be opened by outsiders
- When it's over, delete it early if you like rather than waiting for expiry
Worked example
Here's roughly how it looks once built. It auto-deletes when it expires.
Meet
MM/DD 9:00 / ◯◯ Stn central gate, by the ticket office
Bring
- Your ticket
- Rain gear
- A little cash
If separated
Contact the organiser → next meet at ◯◯ on site
Map of the spotTips for using it well
- Pick a passphrase obvious within the group (e.g. the destination name)
- Make the spot specific: "exit 3, by the police box on the right"
- A checklist of who's been reached doubles as a roll-call
