How to share cultural-festival day info with a QR code

At a cultural festival, neither visitors nor exhibitors can easily tell what is happening where, and printed pamphlets cannot be reprinted and often run out. Put the schedule and campus map on one page and share it by QR code, and everyone can check the latest info on their phone anytime. It is login-free and free, and it auto-deletes the next day, so there is nothing to clean up.

What to put on the page

  • Opening hours, reception location and entry/exit rules
  • The stage and food-stall schedule
  • A campus map (classrooms, restrooms, first-aid)
  • The rain plan and where cancellations are announced
  • A contact point (use an organising-committee number, not a personal one)

Where to post the QR

  • The main gate or entrance everyone passes first
  • The reception desk or the cover of a handout
  • Classroom doors and hallway noticeboards
  • A prominent pillar by the stage or food stalls

When to create it

Create it the night before or the morning of, once the content is fixed. Programmes change at the last minute, so building it after they are set avoids wasted reprints. Print the QR ahead of time and finalise the contents in the morning.

Recommended expiry 24 hours (or 3 days if you build it the night before)

Keeping personal data off the page

  • Don't post students' names, contacts or photos — route urgent contact through the committee
  • Hide layout details and poorly-guarded areas, or anything safety-sensitive
  • Even "link only" is open to anyone. Assume the public will see whatever you post
